Position Overview:

We are looking for an entry-level Administrative Assistant to provide administrative support to our administrative and legal teams under the supervision of the Office Coordinator. This is a part-time position, requiring approximately 4 hours per day or 20 hours per week. In this role, you will assist with various tasks to ensure the smooth functioning of our office and contribute to the efficient delivery of services to our clients. The ideal candidate will be highly organized, possess excellent communication skills, and have a strong attention to detail.

Responsibilities:
  • Assist with general administrative tasks such as answering phone calls, responding to inquiries, and directing messages to the appropriate staff members.
  • Assist with file management and organization, including filing documents, maintaining electronic and physical files, and updating case records.
  • Perform data entry tasks, inputting client information, case details, and billing records into the firm’s database or case management system.
  • Coordinate scheduling and calendar management.
  • Assist with client intake procedures, including greeting clients and gathering information.
  • Handle basic clerical tasks such as photocopying, scanning, faxing, and mailing documents.
  • Assist with special projects and assignments as directed by attorneys or the Office Coordinator. 
Qualifications:
  • Must be able to communicate effectively in Spanish due to frequent interactions with Spanish-speaking clients.
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Previous administrative or office experience preferred, but not required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Attention to detail and accuracy in completing tasks.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Positive attitude, willingness to learn, and ability to work collaboratively in a team environment.
